CSR Booking Rate: How to Measure It and Find Missed Jobs

CSR booking rate is the number of booked jobs divided by the number of bookable calls your customer service reps answered. The key word is bookable: leave out wrong numbers, spam, existing-job questions and vendors, then count how many of the remaining callers ended the call with an appointment. The calls in the gap are your missed jobs.

The formula

Booking rate = booked calls ÷ bookable calls
Call typeBookable?
New customer asking for service or a quoteYes
Existing customer asking for a new jobYes
Price shopper who asks "how much"Yes, often the most important
Question about an existing jobNo
Wrong number, spam, vendor, job seekerNo

Why most companies don't know theirs

Counting requires listening to calls and classifying them, which takes hours nobody has. So owners judge the office by how busy it sounds, not by how many bookable calls turned into jobs.

What missed bookings sound like

Example: a flagged callExample
Caller

How much do you charge to look at a furnace?

Office: "It depends, we'd have to see it." Caller: "Okay, thanks." (call ends)

Flag: bookable, not booked · no time offered · no name or number taken

The most common reasons a bookable call isn't booked:

  • Never asked for the appointment.
  • Price question answered with "it depends" and nothing else.
  • No name, address or number taken, so no callback is possible.
  • No specific time offered.

Measuring it every week

Missed-Booking Call Scoring scores every call your team answers, works out whether it was bookable and whether it was booked, and lists the misses with the reason and the recording. Your booking rate becomes a weekly number in the Weekly Revenue Report.
